Kingfisher Harriers Privacy Policy

Last reviewed: October 2026

Kingfisher Harriers is committed to protecting the personal information of our members, volunteers and others involved in club activities. We handle personal information in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Kingfisher Harriers is the data controller for club membership information. We use ConnectMyClub to manage membership records, session bookings, attendance, communications and related club administration.

Information We Collect and Use

Depending on your involvement with the club, we may hold personal information including contact details, date of birth, membership and England Athletics registration information, emergency contacts, relevant medical information, attendance records and consent preferences.

We use this information to administer membership, organise club activities, communicate with members, manage payments and registrations, and support the safety and welfare of participants.

We process information where necessary for membership administration, legal obligations or legitimate club interests, and seek consent where required. Medical and other sensitive information is handled with additional care and processed only where an appropriate legal condition applies.

Access, Storage and Security

Access to membership information within ConnectMyClub is restricted to authorised club officers, coaches and volunteers according to their responsibilities.

The Club Secretary is primarily responsible for downloading membership information where necessary for club administration. Downloaded records are stored securely on the Club Secretary's personal computer, with access restricted to the Secretary.

A working copy may be retained for the current membership year and is securely deleted when no longer required, unless there is a legitimate reason for longer retention.

Personal information is shared only where necessary for club activities, England Athletics registration, safeguarding, emergencies or legal obligations. We do not sell members' personal information.

Junior Members and Photographs

Junior membership profiles are protected by a ConnectMyClub Guardian PIN, which should be shared only with adults authorised to manage the junior's membership.

Photography and publicity preferences are recorded in ConnectMyClub and can be updated at any time. The club takes reasonable steps to respect these preferences when publishing photographs or other publicity.

Further information about junior safeguarding arrangements is available on our Welfare and Safeguarding page.

Your Rights and Contact Details

Under UK data protection law, you may have rights to access, correct, delete or restrict the use of your personal information, and to object to certain processing. You may also withdraw consent where consent is relied upon.

For privacy enquiries or requests, please contact the Club Secretary at secretary@kingfisherharriers.com. We will respond in accordance with applicable data protection requirements, normally within one calendar month.

This policy will be reviewed annually or when significant changes occur to our information-handling arrangements.
